Managing Architectural Submittals

In The XO, developers and builders have the ability to manage their architectural submittals in a one stop shop. See below for the article and scroll down to the bottom of the page for a tutorial video.

Architectural Submittals

The XO, allows approved users to see all architectural submittals that the builders have provided. This feature allows users to easily manage the approval process. To access pending Architectural Submittals, locate Architectural Submittals Page (Paintbrush icon on the left panel).




Filtering Submittals 

Once on the page, users can view the list of all the architectural submittals and filter them by the status of each architectural submittal. Users can filter by submission by status. Simply, click on the filter button located in the top right-hand corner of the table to filter by status. 



Approving Submittals

Step 1

In order to approve a submittal, first, locate the submittals waiting for approvals. Next, click the pending submittal that needs to be reviewed.



Step 2

Next, click to change the status of the submittal to "Approve" and provide any additional comments. Should more information be required, continue to step 3 under "Denying Submittals" deny and either upload a file or comments to provide additional feedback to the builder. Once completed, click update status and the approval will be sent to the builder.



Step 3

Last, the XO will update the architectural submittals to the approved section. 



Denying Submittals

Step 1

In order to deny a submittal, first, click to view pending architectural submittals. Next, click into the pending submittal that needs to be denied and scroll towards the action items for that lot. See the icon highlighted in RED to proceed.
 


Step 2

Click to change the status of the submittal to "Denied" and provide any additional comments. Users can also upload a file to or add comments provide additional feedback to the builder. Once completed, click update status to submit the information to the builder.


Step 3

Now the specific architectural submittals will be shown under the denied section.
